Pilates For Her – Terms & Conditions

1.⁠ ⁠General
1.1 These Terms & Conditions apply to all services, classes, memberships, workshops, class packages and purchases at Pilates For Her.
1.2 By booking or participating in any class, purchasing any package or membership, or using our facilities, you agree to these Terms & Conditions.
1.3 Pilates For Her reserves the right to update, amend or modify these Terms & Conditions at any time. The latest version will be available on our website.

2.⁠ ⁠Memberships & Class Packages
2.1 All classes must be booked in advance through our booking system.
2.2 Class packages, credits and memberships are personal and non-transferable.
2.3 Each class package or credit pack has a fixed validity period. Any unused credits will automatically expire after this period.
2.4 Extensions may only be granted in exceptional circumstances, such as injury or medical reasons, and remain subject to approval by Pilates For Her. Pilates For Her may request proof before approving an extension.
2.5 Monthly memberships require a one-month cancellation notice, unless otherwise stated within the specific membership terms.
2.6 Membership cancellations must be requested in writing by emailing Pilates For Her.
2.7 Annual memberships are paid upfront for a 12-month period and are non-refundable after purchase unless otherwise required by applicable law.
2.8 Pilates For Her reserves the right to adjust membership structures, packages and pricing at any time.

3.⁠ ⁠Payments & Refund Policy
3.1 All purchases must be paid in advance via the available payment methods.
3.2 All payments are non-refundable unless otherwise required by law or explicitly approved by Pilates For Her.
3.3 Pilates For Her reserves the right to change pricing at any time.
3.4 Approved refunds may require processing time.
3.5 Promotions, discounts and special offers are only valid during the stated promotion period and cannot be applied retroactively.

4.⁠ ⁠Bookings & Cancellations
4.1 Classes must be booked in advance through the booking platform.
4.2 Cancellations can be made free of charge up to 24 hours before the class start time.
4.3 When a class is cancelled within the permitted cancellation window, the credit will automatically return to the account. No monetary refund will be issued.
4.4 Cancellations made within 24 hours before class or failure to attend a booked class will result in the loss of the credit. No refunds or compensation will be issued.
4.5 Pilates For Her reserves the right to cancel, modify or reschedule classes, instructors or schedules. In such cases, credits will be returned to the account or an alternative may be offered.
4.6 Pilates For Her is not liable for indirect costs or expenses related to cancellations or schedule changes, including but not limited to transport, parking or accommodation costs.
4.7 Pilates For Her reserves the right to impose measures in case of repeated late cancellations or no-shows. This may include, but is not limited to, temporary booking restrictions, suspension of the account or additional charges.

5.⁠ ⁠Studio Conduct
5.1 Participants are expected to arrive on time.
5.2 Studio doors may close once class has started and late arrivals may be refused entry. This policy protects class flow, instructor focus and participant privacy within our women-only and hijab-friendly environment.
5.3 Late arrival may be treated as a late cancellation or no-show and may result in loss of the credit.
5.4 Respectful and considerate behaviour towards instructors, staff and fellow participants is expected at all times.
5.5 Pilates For Her reserves the right to refuse participation or remove participants from classes if behaviour is considered unsafe, disruptive or inappropriate.
5.6 The use of phones during class is not permitted.
5.7 Photography and video recording are not allowed during classes. This protects the privacy of all participants within our hijab-friendly and women-only environment.
5.8 Photos and videos may only be taken after class and with respect for the privacy and consent of others present.
5.9 Grip socks are mandatory for safety and hygiene reasons. Participants may bring their own grip socks or purchase them in the studio. Participation without grip socks may be refused.
5.10 Shoes are not allowed on or around the reformers.

6.⁠ ⁠Personal Belongings
6.1 Pilates For Her is not responsible or liable for loss, theft or damage to personal belongings within or around the studio.
6.2 Participants are responsible for their own valuables and personal items.

7.⁠ ⁠Privacy
7.1 Personal information will be treated confidentially and used solely for administrative, operational and communication purposes.
7.2 No participant may take photos or videos during classes.
7.3 Content created by Pilates For Her for promotional or marketing purposes will only be shared with prior consent where applicable.

8.⁠ ⁠Participation & Assumption of Risk
8.1 Participants acknowledge that Pilates, including reformer Pilates and use of studio equipment, involves physical activity carrying inherent risks including but not limited to falls, strains, injury or physical harm.
8.2 Participation in all classes and use of equipment occurs entirely at the participant’s own risk.
8.3 Participants remain responsible for listening to their body, exercising within their own limits and modifying movements when necessary.
8.4 Participants are responsible for informing instructors prior to class about injuries, pregnancy, medical conditions, physical limitations or health concerns.
8.5 Pilates For Her, its owners, employees, contractors and independent instructors are not liable for injuries, accidents or health-related issues arising from participation.

9.⁠ ⁠Independent Instructors
9.1 Certain classes may be taught by independent instructors, including ZZP / self-employed professionals.
9.2 Independent instructors are responsible for their own certifications, insurance and professional conduct.
9.3 Each instructor remains individually responsible for their own teaching and interactions with participants.

10.⁠ ⁠Medical Disclaimer
10.1 Classes, workshops and instructor guidance are not a substitute for medical advice, diagnosis or treatment.
10.2 Participants are advised to consult a medical professional before starting or continuing Pilates, especially in cases of injury, pregnancy or existing medical conditions.

11.⁠ ⁠Complaints
11.1 Complaints regarding a class, service or experience must be submitted by email as soon as possible, preferably within 14 days after the relevant event.
11.2 Complaints should include a clear description of the issue and, where possible, supporting information.
11.3 Pilates For Her will review complaints carefully and respond within a reasonable period.

12.⁠ ⁠Liability
12.1 Participation in all classes, workshops and activities takes place entirely at the participant’s own risk.
12.2 Pilates For Her shall not be liable for any direct or indirect damages arising from participation in classes or use of studio facilities and equipment.
12.3 Nothing within these Terms excludes liability where exclusion is prohibited by applicable law.

13.⁠ ⁠Applicable Law
13.1 These Terms & Conditions are governed by Dutch law.
13.2 Any disputes arising from these Terms shall be submitted to the competent court in the Netherlands.
